Guild Charter

Welcome to Circle of the Phoenix.
If you're looking to form deep, long lasting friendships in a community based on mutual respect, fairness, excellence, and equality, this is the guild for you.

Mission Statement - We're here as a service to the gaming community at large, to help provide a safe, family friendly environment, supporting maximum fun, friendship, and mutual respect, for as many people as possible. Our #1 goal is to be more than just a guild, but a community of friends who truly care for one another as people, not just players. We'll do everything we can to make sure none of our members ever have to play games alone if they don't want to. Our doors are always open. We do not discriminate based on playstyle or lifestyle; all who are friendly, courteous, and helpful are welcome.

Multi-Game Structure - This guild is a chapter of the Shinyfine network. No matter what game you like to play, when or how you like to play, or with whom, all of your ranks and friendships go with you wherever you may find yourself within our network.

The Four Councils - We strive to be all things to all people and support diversity. We really enjoy our time in the games we play together. That enjoyment starts at level 1 and keeps going on for years to come. To make sure things keep moving, and we're covering every type of activity our members are interested in, we have developed a Four Councils system.

The Four Councils are primarily a way of describing the types of events and activities we might find ourselves enjoying together as a guild. Each one of us, from regular members to the leadership, will do our best to make sure there are calendar events, discussions, and activities that cover each one of the Four Councils. Some people may align themselves with a single Council, and volunteer to lead events associated with their chosen affiliation. Others may choose to help maintain variety, making sure each Council is represented online and in-game.

Advanced Encounters

The Advanced Encounters Council is dedicated to scheduling and leading instance runs, raids, and anything related to high level content. If endgame PVE is your thing, this council is for you.

Fellowship and Lore

If roleplaying is what interests you, this is the council for you. The Fellowship and Lore Council is set up for scheduling and hosting RP and social events, and reaching out to the community to help bring people together.

Growth and Nourishment

The Growth and Nourishment Council is dedicated to help and support for all levels, mostly related to PVE, instances, questing, and equipment/finances. If you enjoy helping people and playing alts, this is the right council for you. This branch is also dedicated to recruitment, and making new members feel welcome.

War Council

The War Council is dedicated to the war against enemy factions and all things PVP. If arenas, battlegrounds, or open warfare is your thing, this council is for you. The War Council is a team of members dedicated to scheduling and leading events and coordinating with other guilds in regards to all matters military.

Leadership Style - Circle of the Phoenix was formed out of a desire to be a guild where every member can feel a sense of ownership. We are a guild that is owned, guided, sustained, and defined by our members. We have a GM and officers to help provide inspiration and direction, but ultimately decisions are a collaborative effort.

While the door is always open for members to provide input and direction, not everyone chooses to do so. That's when the leaders come in... to bridge the gap. If any of the leadership is going in a direction that one of our members disagrees with, then it is our sincere hope that any concerns are brought up as soon as possible so they can be dealt with and hopefully remedied in a mutually agreeable way.

The idea is that nobody would choose to leave our guild to form their own. Our hope is that any natural born leaders would find an outlet for their talents with us. We're always on the lookout for volunteers to take charge in various capacities.

Our leaders do not dictate duties. We never demand salutes or rigid protocols. We are first and foremost servants of the members, doing everything we can to make the experience better for everyone. Leadership in the guild is an act of community service. What we do instead, is everything we can to make superstars out of each and every one of our members, if they so desire.

Ranks and Promotions - Promotions are based on a few key things: Desire, maturity, loyalty, participation, and friendliness. Ranks are here to give members goals they can strive for within the guild. They are not intended to make others feel unimportant. Every single member, from recruits to the chapter leader, is valued and respected.

Promotions are not foisted upon our members without their knowledge or consent. Promotions are earned through specific steps. Officers and senior members are tasked with mentoring new members through the promotion process, but to be promoted, members must step up and volunteer to rank up.

On the other hand, "recruit" status, or "probationary member" status is only intended to be temporary, as a new member acclimates him/her-self to the guild's culture, standards, and community. In most cases, a new recruit is given 1-4 weeks to become a full member before they're asked to rank up. We would never want to remove an active member, but if someone joins and never makes any effort to integrate with the guild, that might not be seen as a good fit.

  • Wishmaker

Wishmakers are new recruits. The first week or two they spend with us is our interview process, as well as our chance to win them over as full members. Wishmakers are allowed to have unlimited alts in the guild, but it's only meant as a temporary rank.
Wishmakers can be removed from the guild by a Visionary or above with very little due process if they're found to exhibit behaviors pointing toward a bad fit.
Recruiting: Anyone who is interested in joining the guild can do so with very little process required. Before an invite is sent, we'll explain to the new member a summary of the rules, what kind of guild we are, what we expect from our members, and the basics of how promotions work. If he/she agrees to our terms, Idealists or above can send a /ginvite. Once the person joins, we'll update his/her note with "Main" if it's their main character, or their main character's name if it's an alt, the joined date, and if there's room, who sent the /ginvite. (Example: "Main by Zanriel 11-15-14")

  • Idealist

Idealists are Full Members who can recruit and send guild invites. They have access to the guild vault and up to 50gp per day in repairs.
Idealists and above cannot be removed from the guild without a discussion thread in the officer forums, attempts to coach, and a majority officer vote except in extreme cases such as abusive behavior.
Promotion Process: We'll check in with the new member after at least one week and see if they're interested in staying with us long-term. If they agree, and we've gotten to know them through chat or grouping, and if they're a good fit, then they can pursue becoming an an Idealist by completing the following steps:
1.) Register to the website, preferably using your main toon's name as a username.
2.) Read the Charter and Rules of Conduct.
3.) Post a reply to the Wishmaker to Idealist thread to confirm that you read up on the guild and wish to become an Idealist.
4.) If you'd like your promotion right away, you can whisper a Pathfinder or above in game to let them know you walked through the process. After they check to make sure you've been a good fit, they can promote you on the spot. It's even more fun to get your promotion at the next available guild meeting. If you'd rather do that, you can just wait and look for the next meeting to pop up on the calendar.

  • Pathfinder

They're sold on the distinctives of Circle of the Phoenix and model what a great CotP member looks like. Because of their ability to send guild invites, promote qualified Wishmakers to Idealist, privileged access to polling and discussion areas, as well as the ability to send messages to the in-game officer channel, all Certified Full Members are functionally Junior Officers. We ask that a Pathfinder spend the majority of their gaming time in our guild, but this is not required. Pathfinders are also encouraged to provide their Battle Tag and/or an alternate form of contact to the officers.
Guild bank repair credit for Pathfinders is 200gp per day.
Promotion Process:
1.) Have the path from Wishmaker to Idealist completed.
2.) Think about why you want the rank and how you feel you'll be able to better benefit the guild through it.
3.) The officers typically reach out to contact Idealists that we feel would be great Pathfinders. You may also contact a Visionary or above to express your aspirations through whisper, a note, or the Contact an Officer forum. (Note, if you contact us and we have reason to believe that you're not already modeling the vision and rules of CotP, we will try to break it to you as gently but as straightforward as possible so you can have an opportunity to rectify it.)
4.) If there aren't any obvious issues, we'll schedule an interview with you in the CotPint channel to make sure you understand the guild culture, Rules of Conduct, and Charter.

 Once these requirements are fulfilled, a Visionary will promote you at the next guild meeting with fireworks and fanfare. Pathfinders or above are able to promote Wishmakers to Idealists, but a Visionary or above needs to promote an Idealist to Pathfinder.

  • Visionary

Visionaries are full officers. They're able to promote, demote, and remove members. Their main duties are to help preserve and uphold our values as a guild, mentor Idealists to Pathfinder, and make sure the guild is doing regular recruiting and events. Visionaries must provide an alternate form of contact and are strongly encouraged to have the character(s) they play the most in our guild.
Promotion Process: A Pathfinder who wants to become a Visionary should have a specific role they would like to perform for the guild which would require additional access, or they can be a member who is highly active, and has a good track record of making regular contributions to our health and growth. They are held to the highest standards of character, and must agree to uphold the Charter and Rules of Conduct, as well as abide by the Officer Rules of Conduct.

  • Dreamguard

A Dreamguard is a first officer, VP, co-leader, or chapter lead.
Promotion Process: Several of our members have been with the guild for years as Visionaries, either in WoW, or elsewhere. Some of them are website administrators, some are real life personal friends or family members, and some are long-term loyal, enthusiastic supporters of the guild vision. These people are 100% trustworthy, and have proven themselves time and time again. Although rare, a guild chapter may have multiple Dreamguards. This person oversees the operation of a guild and is available to deal with issues that may arise between officers, or between members and officers. They also have veto and executive authority when important decisions arise that fail to reach a conclusive resolution, or a decision is made that runs contrary to the core values of the guild. A Dreamguard guards the dreams that our community is based on. A Dreamguard may be required to provide their phone number, mailing address, or multiple forms of contact information to the guild leader. This is an executive rank that entails a great deal of responsibility and accountability.

  • Guild Leader

Zanriel is the guild leader. To best describe the rank, his background, and approach, here's a quote: "I've been leading guilds since 2001. What drove me towards that was experiencing disappointment as a member of other guilds that were poorly run. They either didn't make new members feel welcome, they were cliquish, had little ambition or direction, or they were led in a tyrannical, totalitarian style. My primary motivation is to make friends, and to help create a space where friendships are able to blossom. I see this is a service, where I can help bring more happiness and a sense of camaraderie to others. I'm not on a power trip, but quite the opposite; I'm here in a protective and advisory role; to make sure everyone feels included, is treated fairly, and has a voice. I want every member to feel the pride of ownership, and to feel inspired towards greatness."

The Guild Leader reserves full veto or executive power on any decisions, even those that are achieved through a vote. The Guild Leader also reserves the right to invite, remove, promote, or demote members without prior discussion. And finally, the Guild Leader has full administrative access to the Guild Hall and all other features and services available to guild members.

Values - We encourage grouping for the sake of grouping, and giving for the sake of giving. But most of all we encourage friendship and camaraderie. We are loyal to one another and to the guild, but not just for the sake of duty. Our loyalty to the guild is a direct result of the friendships we have formed between each other.

We value freedom, mutual respect, and acceptance. Everyone chooses to adventure in their own way, and we honor that. Some people like to stick to one path, reaching the highest levels of experience in the shortest possible time. Others like to go at a casual pace, sampling several paths. As long as our members are having fun, that's the most we can ask.

Roleplaying - Some of us are very skilled at roleplaying. Others are not. Those who demonstrate leadership in this field by scheduling events and fostering a welcoming environment for players of all skill levels might be more likely to receive promotions, and/or recognition for their creativity. But those who are less skilled at the art of roleplaying, or who don't always choose to do so, will not be ostracized for that alone. What's most important is a good attitude. A non-roleplayer with a good attitude is more likely to fit in than a good roleplayer with a bad attitude.

Events - We are very supportive of guild members who host events of any variety. Officers host promotions ceremonies and other weekly events such as the official guild raid, but they always appreciate the energy that everyone's events bring to the guild. The ideal is for people of all ranks to pitch in together hosting multiple events for various level ranges so that there is always something to take part in. Event attendance is not required, but we do recognize that participation is an excellent way to contribute to the health and fellowship of the guild.

Future Vision - When you've reached the sunset of your life and you can look back to your time with our community with a sense of gratitude at all the good times you had over the years, how you've grown as a person, and all the good friends you've made who you still stay in touch with, then we have succeeded. This is how we hope to enrich the lives of our members.
